Reconciliation, and undoing one

Reconciling a bank or card account means checking your books against the bank's statement, line by line, until the difference is $0.00. A finished reconciliation is the record your accountant and the month-end close rely on. If one was finished by mistake, you can undo it. (Checked against the app on 2026-10-18.)

Two different checks

Reconciliation lists every bank and card account, those with lines left to reconcile first. Each shows two things:

  • Statement reconciled through a date: a person (or an agent you allowed) checked off every line on a statement and finished at a $0.00 difference. This is the one that counts.
  • Tied to bank: the reconciliation agent's daily check that the books agree with the balance the bank reports now. It's an early warning, not a statement. When it's off, See why it is off lists what makes up the difference: lines waiting for approval, lines not categorized yet, and anything not explained.

Reconcile a statement

  1. Open the account (Reconcile on the Reconciliation page, or Lines and reconciliation on Banking) and find Statement reconciliation.
  2. Enter the Statement date and the Statement ending balance printed on the statement, and select Start reconciling.
  3. Lines the bank already reported come checked off. Check off each other item that appears on the statement, and uncheck anything that doesn't. Money in and money out are listed separately; an entry and its exact reversal are cleared together and don't count as work.
  4. Watch the difference. When it reaches $0.00, select Finish reconciliation. You can Save cleared items and come back later.

If the difference won't come to zero, the panel above the list explains what makes it up, line by line. As a last resort, Finish with an adjustment posts one ordinary journal entry for the difference, dated on the statement date, with your reason; check what makes up the difference first, because an adjustment can hide a mistake.

Finishing needs the approve permission. The report (Report in the account's list of past reconciliations) shows what was cleared, what wasn't, and who finished it.

Let the agent prepare it

When a statement arrives (uploaded on the account's page, or forwarded to your receipt address), the reconciliation agent prepares the reconciliation and marks it Ready to finish, or explains what needs attention. By default a person still selects Finish. An admin can Allow AI agents to finish reconciliations; even then an agent finishes only at exactly $0.00 with every statement line explained, in an open period, and anything else waits for you.

Undo a reconciliation

  1. On the account's page, under Statement reconciliation, find the latest finished one in the list and select Undo….
  2. Say why (it goes in the audit log) and select Undo reconciliation.

Its lines become unreconciled again and the account is reconciled through the statement before. If the reconciliation finished with an adjustment, undoing it reverses that entry too. Only the latest one can be undone, it needs the approve permission, and it's refused when a later period is locked. Then reconcile the statement again.
