Get every receipt into Evenbead and onto the right transaction: forward it to your company's private receipt address, or upload a photo or PDF. Evenbead reads it, finds the bank or card line it belongs to, and posts the two together. (Checked against the app on 2026-10-18.) For the details of matching and posting, see Receipts in the guides.

Your receipt address

  1. Open Settings, Receipt inbox, and select Create my receipt address (this needs an admin of the company).
  2. Copy the address, or scan the QR code with your phone to start an email to it. Save it as a contact.
  3. Under Allowed senders, add the addresses you forward from: one address, or a whole domain such as @yourcompany.com. Select Add sender.

From then on, anything an allowed sender forwards there arrives on the Receipts page, read and matched. Mail from anyone else, or mail that fails the sender checks, waits under Waiting for review on the Receipts page; nothing in it is stored until a person selects Release.

You can also choose an easy-to-say name for the same inbox (Choose a name), turn the inbox off, or replace the address if it leaks (Give me a new address; the old one stops working at once). The inbox takes up to a set number of messages an hour and a day, shown under the address.

Upload a receipt

On Receipts, under Add a receipt, choose a file (PDF, JPEG, PNG or HEIC, up to 20 MB) or, on a phone, Take a photo, then select Upload.

What Evenbead reads

The receipt's page shows What was read: the vendor, the date, the tax and the total, how sure the reading is, and the line items when there are any. A PDF's text is read at once; a photo takes up to about 10 seconds.

Matching and posting

Under Bank line, Evenbead lists the lines this receipt could be, best first, with the reason for each (for example "Same amount" and "Same day"). Select Match on the right one, or Choose a bank line to pick it yourself.

Then Post it: the category is pre-filled from your rules or the vendor's history, and says where it came from. Select Post it, and the bank line is categorized with the receipt attached. The paperclip on the line and on its entry opens the receipt.

If there's no bank line yet (a cash purchase, say), Create an expense records it already paid with the receipt attached. A receipt matched to a bank line is never also turned into an expense, so the purchase can't be counted twice.

Agents can do this work too: an expense an agent creates from a receipt always waits for a person to approve it.
